From billing review to follow-up

Incorrect rates, incomplete matter setup and missing entries can hold up an invoice. Mako Financial helps your firm review the details and keep billing tasks moving as part of recurring accounting support.

Check the details

Review billing rates and matter setup against your firm’s instructions. Flag missing time, expenses or supporting information for your team to confirm.

Prepare invoices

Review draft bills for accuracy, resolve questions with the responsible person and support invoicing through your firm’s approval process.

Follow up on balances

Track outstanding invoices, follow up using an agreed approach and bring disputed charges or payment questions back to your firm.

A repeatable billing cycle

Clear owners.
Fewer loose ends.

We agree the scope, review dates and follow-up responsibilities before work begins. Your firm retains decisions about fees, adjustments and client relationships.

  1. Set the scope

Identify the matters, billing rules, software access and people who approve invoices and answer questions.

  2. Review and resolve

Check draft bills and gather missing information. Bring exceptions to your firm before invoices are finalized.

  3. Track the next action

Review unpaid invoices and retainer questions. Agree who follows up, what needs approval and what remains unresolved.

Retainers need their own attention

We help record and reconcile retainer deposits and identify missing information before proposed transfers. Your firm authorizes transfers; billing support does not decide entitlement to trust funds.

Explore recurring trust accounting

Older discrepancies may need a separate scope. See trust-accounting cleanup.

Keep your existing systems

We work in your firm’s billing and accounting tools, including Clio where used, with the access and responsibilities agreed for your engagement.

Your Mako workspace is for document requests, secure exchange and shared reports. It does not replace your billing software or automatically sync invoices and payments.

Common questions

Before we begin

Can you help with overdue invoices?

Yes. We can review outstanding balances and support routine invoice follow-up within an agreed scope. Disputes, fee adjustments and decisions about further action remain with your firm. No collection amount or recovery rate is guaranteed.

What if our billing records are incomplete?

We first identify missing entries, reports or approvals and agree what your team needs to provide. Significant historical cleanup may require separate work before a recurring billing cycle is practical.

How often will you handle billing?

The schedule depends on your billing cycle and engagement. We agree review dates, approval responsibilities and follow-up timing together rather than assume the same cadence for every firm.

What should we bring to a consultation?

Be ready to describe your billing software, billing cycle, approval process and main bottlenecks. Start with business contact details in the inquiry form; share invoices, credentials and client records only through an agreed secure channel after scoping.

Before your consultation

Connect matter setup with the billing cycle

Discuss your billing software, fee arrangements, rate changes and invoice approval responsibilities. Reliable legal billing depends on the details attached to each matter, not just the final invoice total.

Review outstanding balances alongside disputed bills and promised payments. Your firm sets the client-communication approach and authorizes adjustments; accounting support helps keep the follow-up organized.

Let’s scope the work.

Start with your business contact details. We’ll discuss the accounts, records and support your firm needs.
